Office Manager Position Summary:
 
As an Office manager, you'll be dealing with running an office and its employees as part of a management team.
 
So, what will I actually be doing?
 
On a daily level, your job will include:
 
Office
  • Manage, assign, delegate and control Tasks in Company’s internal Portal;
  • Arranging travel, meetings and appointments;
  • Monitor Incoming Mail and Calls and respond, delegate or act within position’s competence;
  • File incoming Correspondence, Accounting and other back office documents and transfer it to appropriate departments;
  • Manage Company and its employs’ records, contracts, documents both Electronically and in Hard copies;
  • Monitor Office supplies and Conducting All Necessary (A-Z) activities in Procurement of Back office supplies, Consumables, tangible and intangible items and fixed assets to sustain Smooth Business continuity of Back Office;
  • Maintaining office efficiency by planning and implementing office systems, layouts, and equipment procurement;
  • Maintaining the condition of the office and arranging for necessary repairs.
 
HR
  • Supervising and monitoring the work staff (cleaning, repair etc.);
  • Liaising with staff, suppliers and clients;
  • Maintaining office staff by recruiting, selecting, orienting employees;
  • Maintaining office staff job results by counseling, and disciplining employees; planning, monitoring, and appraising job results;
  • Conduct all necessary HR activates supporting existing employee team and management for HR management and improvement.
 
Other
  • Design and implementing office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments;
  • Preparing Back office annual budget; scheduling expenditures; analyzing variances; initiating corrective actions;
  • Managing Company’s Social Sites such as FB, LinkedIn, and Twitter etc.;
  • Managing Company Website via the Content Management System and upload news, articles and applicable content;
  • Presenting your findings to the Management on Day-today Improvements;
  • Responding to customer enquiries and complaints;
  • Attending conferences and training.

Must Have:
  • To be a leader and influencer to motivate others;
  • Excellent Time management skills;
  • Good technical of MS office suite and strong Internet usage skills with the ability of web research and analytics;
  • Comprehensive knowledge of FB, LinkedIn and other channels;
  • A keen interest in IT issues;
  • The capacity to work well on your own or in a team;
  • Willingness and the ability to learn new platforms, applications, and tools utilized in existing operations process;
  • Excellent English and Russian communication Skills: writing speaking and reading;
  • Fluency in Georgian is a plus;
  • Master in multi-tasking;
  • To be prepared to stand your ground and say ‘no’ when required;
  • To be the first person your friends come to when they’ve got a problem;
  • To be most organized person you know;
